The Records to Gather at Office Fit-Out Handover

Organize outstanding items, care information and responsibilities before taking over a completed workplace fit-out.

A handover is more useful when it leaves the operating team with clear records, not just a finished-looking space. Start by comparing the delivered work with the agreed scope and approved changes. Record areas that are complete and items that still need attention without treating a visual walk-through as a technical certification.

Create one outstanding-items list with a location, description, responsible party and agreed next step for each item. Use photographs where they make an observation clearer. Keep new observations separate from items already closed, and record who reviewed the closure rather than relying on a verbal update.

Ask for the operating and care information relevant to the supplied finishes and equipment. Depending on the scope, this may include product instructions, cleaning restrictions, warranty documents or equipment references. Request only records that apply to the actual work; do not assume that every project includes the same documentation.

Confirm how keys, access devices and relevant controls will be handed over to authorized people. Keep sensitive access details out of general snagging photos or shared public folders. Agree where the operating team can find the information it needs without distributing it more widely than necessary.

Identify any drawings, equipment schedules or inspection records included in the contract and note their status. If a required document is missing or unclear, record the gap and its owner. Where specialist checks or formal approvals are required, they should be handled by the appropriate responsible parties rather than inferred from appearance.

Separate cleaning readiness from construction completion. Confirm whether dust-generating work is finished, which areas can be cleaned and when a final review can take place. A cleaning team should not be expected to conceal unfinished work or resolve a construction defect.

Finish with a practical operating handover: who receives future faults, how outstanding items will be followed up and which areas have restrictions. Keep the agreed records accessible to the people managing the space. This gives later maintenance requests a useful starting point without overstating what the handover proves.
